The Follow-up feature enables the gym representatives to have clarity on the type of follow-up 

(i.e. balance, enquiry, feedback, renewals) they need to conduct. The feature increases the effectiveness of the sales representatives, front desk executives, trainers, and also provides better clarity to the owners of the gym while viewing the follow-up report. 

 

How to configure follow-up type

 

Depending upon the configuration, the follow-up type can be created only if the rights have been given to the user i.e. the owner or the center admin.

 

  • Select the tenant you want to configure the Follow-Up type.

 

  • Go to the settings and click on the follow-up type master.

 

 

  • It will redirect to a separate page. Now click on Create New Follow-Up Type.

 

 

  •  This will again redirect you to a separate page.

 

You will see there are two Follow-Up types (radio button)

 

  • Manual Follow-Up


  • Automated Follow-Up


 

Manual Follow-Up:

 

  • Follow-Up Identification Name: Name of the follow-up. e.g. feedback – after 30 Days

 

  • Follow-Up Type: the type of follow-up. e.g. feedback is the Follow-up type for feedback – after 30 Days

 

  • Assign To: whether it should be assigned to the department or a client representative.

 

  • Color: Identification for a particular Follow-up type can be assigned by setting a specific color

 

  • Department: If any department is selected then the follow-up will be visible only to that department, if you want it to be visible to all then keep on ‘Select’.

 

  •  Would you like this Follow-Up type to be selected while creating a compulsory Follow-Up on the Enquiry or Balance page: select as per your requirement.

 

  • Status: You can keep the status active or inactive. Active means the follow-up will show in the follow-up type. Inactive means the follow-up will not show in the follow-up type.

 

  • After the fields are filled you can click on ‘Save’ and you can click on ‘Cancel’ if you do not wish to create the follow-up.

 

 

ii.  Automated Follow-Up

 

Click on the Automated Follow-Up (radio button).

 

  • User Existing Templates: If there are already pre-designed templates configured in the software it will automatically fill all the fields. You can customize the fields accordingly

 

  • Follow-up Identification Name: Name of the follow-up. e.g. feedback – after 30 Days

 

  • Follow-up Type: the type of follow-up. e.g. feedback is the follow-up type for feedback – after 30 Days

 

  • Assign To: whether it should be assigned to the department or a client representative.

 

  •  Color: Identification for a particular Follow-Up type can be assigned by setting a specific color.

 

  •  Department: If any department is selected then the Follow-Up will be visible only to that department, if you want it to be visible to all then keep on ‘Select’.

Criteria for ‘Open’ :

For setting Open criteria (i.e the Follow-Up will open as per the criteria set)

 

  • Date Type: This means the follow-up will open based on which data type. e.g: Expiry date, activation date

 

  •  Product Type: Map the Follow-Up by selecting the Product Type i.e. the software will automatically open the following based on the Product Type selected. e.g. Product type is membership and date type is expiry date so the follow-up will open accordingly.

 

  •  Follow-up: The follow-up should open today, before or after the date type selected.

 

  • Response: Here the response should be kept on ‘Follow-Up Again’ however based on the criteria it may differ.

 

  • Call Comment: The comments mentioned here will be reflected when the automatic follow-up opens.

 

  • Client Status: select if the automatic Follow-Up is for Member, Trial, or Enquiry.

 

If you do not wish to open the automated follow-ups then you can click on Open: not required (checkbox).

Ans: No, the follow will open from the day the Follow-Up was configured.
